Student Payroll
If you work on campus during the academic year, time sheets must be submitted to the One-Stop Shop (formerly the Student Service Center) located on the ground floor of Taylor Hall) by the 1st of each month; students are paid on the 15th of the month beginning in October and through May. Time sheets should be obtained from your Supervisor and must be signed by you and your Supervisor before being sent or brought to the One-Stop Shop. Students may pick up their paychecks at the One-Stop Shop beginning the 15th of each month during the academic year (checks not picked up after two weeks will be mailed).
Checks issued during Spring Break and at the end of each Semester will be mailed to the address on your W-4 form. W-2 Wage and Tax Statements will also be sent to that address. Please keep your W-4 address current
Please note: W-4, I-9, and Emergency and Municipal Services Tax (EMST)* forms must be completed and submitted to the Student Service Center along with:
1) A U.S. passport, Certificate of U.S. Citizenship, Certificate of Naturalization, Permanent Resident Card with photograph or Unexpired Employment Authorization Document with a photograph OR
2) A Drivers license or federal, state or locally issued ID; School ID with photograph, or U.S Military card AND a U.S. Social Security card, original or certified copy of birth certificate, ID Card for Resident Citizens, or an Unexpired employment authorization document.
All forms must be on file before a check can be issued.
Any student receiving a campus work-study award or an Institutional Work-study award will be responsible for monitoring how much of their work study allocation they have earned throughout the year. To assist students in doing so, information on the amount of work-study he/she has remaining will be provided with the monthly paycheck. Once a student has earned up to his/her allocation, he or she will no longer be permitted to work for the remainder of the academic year. Permission to continue working will only be granted under extraordinary circumstances. Please note that hours worked during summers, winter break and spring break will not count against a student’s annual work-study award.
*EMST – this tax is deducted once a year from all persons employed within the Cheltenham Township, including Work Study students. It is a flat tax of $52.00 per employee, per year. Employees expecting to earn less than $3,000.00 in any tax year may be exempt and must sign an affidavit to avoid paying this tax.
